Where is your company located?
Located in Peterborough, Cambridgeshire, Ringrose Grimsley Ltd has a proud history which began in 1992. Specialising in pensions, investments, mortgages and healthcare, they work with private individuals and organisations of all sizes to help them make well-informed decisions about their financial security.
What was your situation before you chose our services?
Like most IFAs with a long trading history, we’d (happily) built up a significant archive of client files. As a few filing cabinets evolved into mountains of records, it was evident to us that there must be a more efficient way to manage this information. We hoped that through the digital transformation of our files, we could not only save valuable office space, but also increase our document retrieval speed and importantly, enhance compliance.
Did you consider other solutions or providers?
We approached a number of scanning providers and it became clear they had little or no experience of IFA business and were simply looking to use as a test run (and charge for it!)

Having made the decision, how did the implementation go?
Despite our business being passionate about embracing change and new technology to drive us forward, you are naturally cautious about any third party handling your client data – it’s your most valuable asset. Management of our client data is without doubt a top priority for us, a responsibility understood right across the business.
Given those concerns, we were delighted that the process was absolutely straight forward. Neatly coordinated from the outset by the team at JSIG, we understood when our files would be collected, how long the processing would take and when we could expect to enjoy our new digital documents. Most importantly, there was no disruption to our own service delivery as on the odd occasion that we needed access to a client file, they ensured it was digitised and in our inbox within a matter of hours.

Ultimately JSIG gave us digital records that not only integrated into our system but were catalogued in a way we wanted, to suit our business.
Our office now has around 20% increased floorspace, and instead of paying for more costly office space we now have the option to situate several more advisors in an area that was effectively redundant.
We also enjoy quick and effortless access to our files whether working in the office or remotely and beyond that, we are able to more comprehensively meet compliance obligations.
What does the future now look like?
Digital, efficient and flexible! One of the fantastic benefits of digitally transforming our client files was having easy access to ALL of our information during the pandemic when working from home.
How has our service helped your business to develop?
Effective document and data management is fundamental to the successful delivery of our services. But it doesn’t just stop at us, our clients care too, and this matters. Naturally, we make decisions affected by regulatory compliance and commercial logic, but our clients are the heart of what we do. Any step we can take to demonstrate our commitment to ever-improving service delivery is a win in our books.
